Privacy

This policy tells you which personal data Argus processes, why, on which legal basis, and for how long. Argus does not sell data and does not show ads.

  1. Who is responsible

    [LEGAL ENTITY NAME] [LEGAL FORM], [ADDRESS], enterprise number BE[KBO NUMBER], is the controller of the personal data in this policy. For all questions about privacy, mail [email protected].

    For the award reports that you upload, your organisation is the controller and we are its processor. Our terms explain how we process that data.

  2. What we collect

    • Your account: your work email, your password (stored only as a hash), your company name, your VAT number and the size of your sales team.
    • Your subscription: Polar collects your payment and billing details. We receive the status of your subscription and your invoices. We never see your card.
    • Your use of Argus: which Argus tool you call and when, and which tenders you ask a recon for.
    • Feedback: what you send through your assistant, together with the answer that you got from Argus.
    • Your uploads: the award reports, with the company names, scores, prices and evaluator comments in them.
    • Your IP address: to limit abuse, and in server logs.

    We do not store the questions that you ask your assistant. Only the data that a question needs, for example a tender title, reaches Argus.

  3. Why, and on which legal basis

    • To give you Argus, run your account and manage your subscription. Basis: our contract with your organisation, and our legitimate interest in giving its users access (Article 6(1)(b) and (f) GDPR).
    • To keep Argus safe, stop abuse, and see which parts of Argus people use so we can improve them. Basis: our legitimate interest in a safe and useful service (Article 6(1)(f)).
    • To send emails about your account, such as a password reset. Basis: our contract. We do not send marketing email without your consent.

    You must give your account details to use Argus. We make no automated decisions about you that have legal or similar effects.

  4. Cookies and your browser

    Argus sets no cookies. Your browser keeps your login token and your light or dark choice in its local storage. Our statistics tool (Umami) works without cookies and does not store your IP address.

  5. Public tender data

    Argus processes published notices from the Belgian e-Procurement platform and TED, and pages from public company websites. These can contain the names, roles and contact details of contact persons, and of sole traders who bid. We process them because public procurement is meant to be transparent, and these facts are what Argus is for. Basis: our legitimate interest and that of our customers (Article 6(1)(f)).

    You can object at any time. Mail [email protected] and we remove your details.

  6. Who helps us

    • DigitalOcean: hosts Argus, its database and its file storage in Amsterdam, in the EU.
    • OpenAI: reads tender documents, company websites and the award reports that you upload, to extract the facts. Files that we send to OpenAI expire after 24 hours. OpenAI can keep request data for up to 30 days to detect abuse, and then deletes it. It does not use this data to train its models.
    • Resend: sends our emails.
    • Umami: counts page visits and actions.
    • Polar: sells the subscription as our reseller, and handles payments and invoices under its own privacy policy.

    Some of these companies are based in the United States. When data leaves the EU, the transfer relies on the EU-US Data Privacy Framework or on standard contractual clauses. Mail us for a copy of these safeguards.

  7. How long we keep it

    • Account data: while your account exists.
    • Log of tool calls: one year.
    • Counters that limit abuse: two days at most.
    • Server logs: until the next restart or deploy. Our host keeps them, and we do not copy them elsewhere.
    • Feedback: until you ask us to delete it. Mail [email protected] and we delete it within 30 days.

    When you delete an award report, we delete the file and the data from it. When you delete your account on your profile page, we delete your workspace, your users, your award reports and your logs.

  8. Your rights

    You can ask to see, correct, export or delete your data. You can ask us to limit how we use it, and you can object to use that relies on our legitimate interest. Mail [email protected]. We answer within one month.

    If you are not satisfied, you can complain to the Belgian Data Protection Authority (dataprotectionauthority.be).

  9. Changes

    When this policy changes, we change the date at the top. We tell you about important changes by email.
